Default Blackberry syncs contacts into Notes address book

Please Login to Remove!

I had an issue where Blackberry contacts are getting synched with Lotus Notes local address book. This causes a user to send emails to non existant addresses. They are just the users phone book contacts being used as an email contact. Anyone have a clue what is going on? thanks

This is how the system is designed to operate. Are you effectively saying that you want to stop an address book on a BlackBerry from synchronising with lotus notes?
If so, this is possible but the method depends on your config. Does this user synch his device OTA only, or does he sometimes use Desktop Manager?

Why would your BB user address an email to someone without an email address? For example, they have BOB JONES in BB Address Book, no email only phone. This synchs to Notes. Why would the BB user then create an email to BOB JONES?

Are we assuming that there is a Domino Directory entry for a different recipient with same name? In which case, amend the BB user's notes client to exhaustively check all address books as opposed to stop at first match, this would force the notes client to prompt with a duplicate name pop-up, no amendments to BB synch necessary.

This all sounds very messy though.... It might be cleaner/easier to speak to the user as opposed to bending how a BB functions or changing notes. Ask them why they have phone-only records on a BB... and if it is a user who already exists in a corporate address book, either delete from BB and use lookups for the phone/email data or add the full record to local. For BB Add Bk contents with phone only who do not exist elsewhere, well, it is a non-issue, why try to send email to someone without an address?

i know that i have contacts in my personal notes address book who also exist in the public address book, same person but different contact info, the PAB has the work details, my personal NAB has the personal details. Changing the search to prompt for duplicates was the way forwards for me.

I have many names in my Notes NAB which don't have any email address. I don't have the option of sending an email to these people.

The email might fail at send, but how do you stop PAB entries being included in type-ahead addressing? My phone-only records are found if I type their name into the TO field (just tested on Domino/Notes 7.0.2)

You can't exclude these entries from being included in the type-ahead when addressing. Just like you can't exclude entries without a phone number when you're composing an SMS message.

I think that would be a great idea though, filter the type-ahead records depending on if you're composing an email, PIN or SMS.

I know... my point there was that the records are still a problem in notes, as they can be added to a memo, and it creates at least a "no name found to send to" error upon send.

We have the same issue too (users will often have a personal entry in their own NAB (name and address book). The types of records in question exist in the corporate directory (office number, fax, email), but certain people like to have access to unpublished information for those people (e.g. home phone number, personal mobile phone number, etc).

The best workaround we've found is that there need to be two entries, and the local copy needs to have all of the information the corporate directory has (office, fax, email, occasionally home/cell) plus the unpublished information (usually home phone, cell). Even though it's an administrative headache for the user (or the user's administrative assistant most likely), it's worth the work to avoid the inevitable frustration (error "This entry has no email address").

At least the later 4.2 O/S devices (unsure if 4.1 or 4.0 can do this), the lookup function does retrieve the matches from the corporate directory (even if a local match can be found). But getting the user's to understand and remember doesn't pan out (at least with my users). Hence the local contact record needs fully populated info to provide the BB experience the users expect.

Agreed Aroc.

We tell users to open the Domino Directory, use the "copy record to local address book" button and then add the home phone/fax/etc.

It means they have lots of manual maintenance going forward, but with the way the systems are constructed, there is no 100% clean no-effort-required "fix" for this.
