Default Sent email intermittently appearing in handheld's inbox

Please Login to Remove!

I'm a new BES admin running 4.1 for Domino with 5 Verizon 7250s with latest firmware. One of my users (and only one) will sometimes receive messages he's sent from his Lotus Notes client in his inbox on his BlackBerry. He has "Hide sent emails" set to yes. I've gone as far as choosing not to synchronize the Sent folder on his BlackBerry and I've even setup a filter on the BES to block email from his email address. None of these fix the issue. Any idea what log I should be looking in and/or what I should be looking for to figure out what's going on? Thanks.

Edit: Forgot to mention that I've removed/readded him to the server just in case, but that was no help either.

In the Blackberry Manager under Service Access, Choose folders for redirection. Make sure Sent Items is unchecked and Inbox is checked.

The only options I'm seeing under Service Access are "Set Activation Password," "Generate and Email Activation Password," "Disable Redirection," and "Disable Connection and Collaboration Services." I have tried disabling Sent Items synch on the handheld itself, but this doesn't keep sent items from showing up in the handheld's inbox.

Never found a solution, but I did notice that the issue only ocurred when the user turned his BlackBerry off for a time. When he turns it back on the queued messages are pushed down to him all at once and the first few he sent from his mail client are marked correctly, but the remaining ones aren't.

Question I am having a similar issue

The bad side of my story is that the only user is my CEO 8-(

I have the idea that the problem is related to one of the three following things:

His mail database has some sort of corruption that is impacting the behavior of the push to his blackberry device. By the way he has one 8700r.
The way the blackberry discover which items are to be pushed is identifying documents that even with the Redirection set to no redirect the Sent folder messages are still going to his blackberry.
The third one and is the one starting to be in my priorities is that the pointers in the state database (in the Mail Items view) are wrong.

My user is doing something particular. He is copying mail from his Sent view into different folders, and then he is removing those messages from the Sent view. It may cause the problem with the State database.

Something else that I have noticed, that RIM told me is normal, is that there are a good amount of messages in the Mail Items view in the State database with no information (No Reference ID and No Folder ID. In a reconcile process how is the server able to identify those messages if they are not properly identified ? Maybe the reason for those messages is that those are the messages that are in the Blackberry device that are not in the mail database ? I don;t know and RIM didn't provide a satisfactory explanation for having those documents there.

I am trying to reproduce the problem myself and I will post anything I will find for the benefit of other admins.

Do they actually show as a sent item (with the checkmark?) Are you sure he's not just saving a copy of the sent item to another folder using send and file? I wonder if it's actually sending the filed item to the handheld (assuming that folder is subscribed)...

Default They show as received

Yes they have the envelope not the check mark. It has been very difficult to explain it to Tech Support. I finally got some pictures from his BB device and submitted them to RIM Support.

In Notes those messages were in his Sent view (Not in his Inbox). I am calling RIM to see if they have any news on this one.

I have been trying to reproduce the problem with no luck. I have experienced a different one but nobody (IBM or RIM) was able to explain the cause.

I tend to think that there is a discrepancy between the State database and the Mail File. However it has been very difficult to "reconcile" as there are lots of messages in the State database with No Information, however RIM states it is OK (I am still not clear).

They don't actually show as a sent item; that's the issue. They show up as emails sent by him, but they don't get the check mark. He says he sends all of his emails the same and never uses the 'send and file' option, so I don't think that's it.

Is it the envelope or a file folder? Does he have Hide Filed messages on or off? Maybe...

Envelope. Not sure about his Hide Filed Messages setting, but I don't think it should apply here anyway. This seems more like a BES issue than a handheld issue.

Question Mail is not being archived

The user keeps following the same procedure, and the problem hasn't re-occurred. We will migrate to Exchange soon and then I think that we will not be able to reproduce the problem.

Thank you all for your posts and interest. I hope you will be able to identify the root cause for this problem.
